Privacy notice and UAL Portal declaration

Why do we collect your data? 

We are collecting your personal data and information because it is necessary in order that we can respond to the enquiry you made.  The lawful basis we rely on to do this is legitimate interest under GDPR Article 6(1)(f).  We use a form platform called Gecko as our data processor to do this. This information is transferred to our student records system so that we can create a UAL Portal account for you. Through your UAL Portal you will be able to:

  • create and manage open event bookings
  • request a copy of a prospectus
  • manage your marketing preferences
  • manage your preferred communication preferences

We collect your name, contact details, details about your country of residence, intended year of study and study preferences so that we can get in touch to answer your questions and offer you relevant services.

What do we do with your data? 

Your information will initially and temporarily be stored in Gecko. and then transferred to UAL’s student records system (called SITS) occurs. When your information reaches our student records system you will be sent an email confirming that we have created a UAL Portal account for you.

If you choose to use your UAL Portal to manage your event bookings, we will keep a record of this for one year after the event has finished.  Other enquiry related data will be deleted within a year of responding to your request.

Do we share your data? 

No. We will not share your data with anyone else. We will only use and store your data as outlined in this privacy notice.

Marketing Consent Declaration

If you choose to receive marketing communications from us, we will use data you have provided us with so that we can send you information about events you maybe interested in, such as Open events and tours, information about studying at UAL, living in London, fees and funding, and other information to support your application to UAL.

If you have opted in to receive marketing from us, we will keep your details until at any point you want to unsubscribe or for two years after your intended year of study (whichever comes first). You have the right to withdraw you consent at any time by emailing weareual@arts.ac.uk.

All non-operational communications will contain a link allowing you to update your communication preferences, and you can also do this through your UAL Portal at any time.

Data Sharing Consent Declaration

If you decide to give your consent, we will share your personal data and information you provide with our official representatives in your country, via email.

They will use this information to support you with your enquiry and/or application to UAL. You can find out more about how we work with our official representatives around the world by visiting the relevant your country page on our website. As some of our official representatives are based around the world, your data may be transferred to them outside of the UK/EEA. Some of these countries may not provide a level of protection for your personal data that is consistent with UK data protection law.  This means that you may not have the same rights in respect of your personal data in the other countries which you have under UK law (these rights are detailed in our privacy notice).

You have the right to withdraw your consent for data sharing at any time by emailing weareual@arts.ac.uk, in which case we will contact our official representatives and ask them to remove your details from their database.
