Timetable help and support

Check our guidance to help you use your Online timetable and  iCalendar.

View your timetable online

Choose how you want to view your timetable

You can view your timetable in 3 different ways:

  • The Online timetable - check your up-to-date timetable here. Any changes made to UAL timetables will show immediately.
  • On your personal device through iCalendar - this uses the same information as your Online timetable. However, the time it takes for changes to appear depends on how often your device is set to refresh.
  • On the MyUAL App - this uses the same information as your Online timetable. However, there may not be the same level of detail on the events.

My username or password doesn't work for the Online timetable

The password provided for your first login to your university email is only temporary. Please change your password before trying to log in to your timetable.

You can also change it if you've forgotten your password.

If you still can't login, please contact the IT Service Desk: servicedesk@arts.ac.uk or +44 (0)20 7514 9898.

Changes to timetables

Your timetable is subject to change throughout the year.

When changes are made in your Online timetable, they should be visible immediately.

If you use iCalendar the time it takes for changes to appear depends on your device settings. Check your device or calendar to make sure it synchronises regularly with your Online timetable.

To be notified of last-minute changes you can opt-in to the Notification Service in your UAL Portal. Use the link on your homepage to opt-in and you'll be sent an email summary of the changes to your timetable in the next 7 days.

Understand your Online timetable

My timetable is blank or showing incorrect information

The landing page for your Online timetable will always be the current week. Check that you're viewing the correct teaching week and not a week prior to the start of term or in the winter or spring break.

There are some circumstances that will delay your allocation to timetabled events. This could be because:

  • you've changed your degree programme
  • you registered late
  • you've not yet been allocated to smaller group teaching activities. This is sometimes not done until the term has started and you have been put into groups by your course leader.

If there are any other issues with your timetable please contact us. Use the 'Contact us' email addresses below.

My timetable is blank after 6 months

Your timetable will only show you 20 days into the past and 180 days into the future from the current date.

Viewing space bookings in my timetable

Your timetable will display any spaces you have booked through either ORB or UAL Library and Learning Zones.

This is to book spaces only. Kit and stock bookings will not appear in your timetable. Bookings will only show for students with UAL timetable access.

Viewing your space booking

  • Spaces booked via ORB will display as ‘Resource Booking.’
  • Those booked via the Library system will display as ‘Library Booking.’
  • Spaces can take up to a minute to appear in your timetable.
  • At this time bookings make through any other system will not appear on your timetable.

Cancelling or amending your space bookings

  • To cancel or make any changes to an ORB or Library system booking, please use the system set up by your College or Institute.
  • You'll find a link to the relevant system by clicking on the Notes area of the booking in your timetable.

Support

If your booking does not show in your timetable or has an error, either raise a MySupport ticket or call the IT Service Desk on +44 (0)20 7514 9898.

Colour coding and categories on my timetable

Colours are used to represent your contact hours, like lectures, seminars, workshops or assessments.

Find out what each category and colour means, as well as additional events that you may see on your timetable.

See the list of timetable event categories (PDF 101KB)

Short Course students

If you're enrolled on a Short Course only, you won't have UAL timetable access. Your Short Course team will provide you with the information you need to attend your course.

iCalendar

Using iCalendar, you can add your timetable on a mobile device. You can sync your live Online timetable to any mobile device or online calendar.

Check your device or calendar to make sure it’s set to synchronise regularly with your Online timetable.

How to subscribe to iCalendar

Log into the UAL Portal. Under the section named my Timetable, select the iCalendar symbol and follow the prompts to subscribe.

How to use your iCalendar link

There are a few ways you can view your timetable, using your link:

Outlook

  1. Log into Outlook (using your UAL credentials).
  2. Copy your personalised iCalendar link.
  3. Go to Calendar, right click on 'My Calendar' and select 'Add Calendar'.
  4. Select 'Calendar from the Internet'.
  5. Paste your link into the 'Calendar URL' field.
  6. Select 'OK'.
  7. A calendar will appear under the list of 'My Calendars' called 'Schedule'. This is your UAL timetable.

iPhone/iPad:

First you'll need to add your UAL mailbox to your device and then use the iCalendar link to subscribe to your timetable.

Google Calendar/Android devices

You'll need to set up a Google email account if you don't have one and then use the iCalendar link to subscribe to your timetable. It may take 24 to 48 hours for changes in your timetable to be reflected in your Google Calendar.

My iCalendar link is not working or was working and has now stopped

This could be due to a few things:

  • Name or email change – if your UAL email has changed you'll need to sign up for a new iCalendar link. Please check if you've had a new email address from IT Services.
  • Change of course - if you've transferred to a new course at UAL you'll need to sign up for a new iCalendar link.

My timetable is showing an activity at an unusual time

If you see any events scheduled between 11pm and 7am, make sure that your device is set to the correct time zone for London.

Changes to my timetable aren’t showing on my Android device/Google Calendar

Any changes made to the timetables will show immediately on your Online timetable.  We can't control how often your other systems, such as Google Calendar or Outlook Web App, are refreshed, so this may take a bit more time.

Check the settings on your device or calendar to make sure it's set up to synchronise regularly with your Online timetable.

For the most accurate information, always check your Online timetable.

I'm getting failure notifications or error messages on my mobile device

This may be because you are out of the UAL network when there's a scheduled refresh. If they don't go away when you're back in range: replace your iCalendar link with a new one by entering your address again.

MyUAL App

You can also view your timetable on the MyUAL app, which is supported and operated by IT Services.

For any problems within the MyUAL app (such as a blank timetable, timetable not updating, or timetable showing the incorrect information) please contact the UAL IT Service Desk on +44 (0)20 7514 9898 or email servicedesk@arts.ac.uk.
