Writing an email

When writing an email, use the below styling in Microsoft Outlook:

  • Typeface: Arial / Arial bold, 12pt.
  • Colour: Black.
  • Alignment: Left aligned.
  • Use bold for headings and to call out content types.
  • Use bullet points to help break down information.

Hyperlinks

When including hyperlinks in your emails, make it clear where the link is directing the reader. This will help screen readers to understand what the content of the link is, without needing to read out the full URL.

Linking to your Teams

To include a hyperlink to your Teams chat, please add the below link to the word 'Teams' of the email signature and replace 'youremailaddress' with your email address.

Pronouns

By including pronouns on our email signatures, we avoid creating situations where people make assumptions about gender identity. This is just one of the many ways to create inclusive spaces for everyone. Read more guidance on pronouns.

Additional wording and imagery

It's important for an email signature  to be accessible and sustainable:

  • Don't add additional wording. This adds more data to the email and increases the carbon footprint.
  • Don't use imagery in your signature. It adds more data, interrupts the format and may result in a recipient not being able to see your signature or your email being filtered to spam.
